AGM President’s Report – recap

AGM: Thursday 7th September, 2017, 7pm

Both the 2016 Inaugural Christmas Pageant and Christmas in the Park were successful, well attended events. We were lucky to have perfect weather, great community participation and support and no major dramas and we stayed well within our budget. These events were made possible thanks to our incredible committee, volunteers, float entries, stalls, sponsors and the public who whole-heartedly supported the events on the day.

I would like to acknowledge and thank our major sponsors for their financial and in-kind support: The Port Pirie Regional Council, Nyrstar, The Recorder, Magic FM and Flinders Logistics.

Founding members of the Port Pirie Christmas Pageant Inc Committee (PPCP Inc) in 2016 were: Lauren Boulton, (Karen Seindanis), Jacy Kemp, Grant Hanlon, Jo Ellard, Scott Everett, Robert Tolson, Leo Taylor, Rachael Lunsmann and Bek Doyle. I would like to personally acknowledge and thank these people for having the vision, tenacity and commitment to undertake this huge task ~ Karen

2017 Committee Members: We welcomed this talented trio over the last 3 months: Ellie Baldwin, Jayne Gebert and Emma Pendry

Farewell to the following Committee members who have now left the committee, we thank you for your service: Ebony Roberts and Tammy Hudson and founding Members: Grant Hanlon, Bek Doyle, Leo Taylor and Jo Ellard.

A lot of effort went into not only planning the two events but setting up our communication tools and administration functions, so well done to all these people for their diligence and perseverance.

AGM: New Committee Formed 7th September, 2017: After all positions were declared vacant by Hon. Geoff Brock MP, PPCP inc. committee positions were re-elected: President: Karen Seindanis, Secretary: Lauren Boulton, Treasurer, Jacy Kemp and committee members: Robert Tolson, Rachael Lunsmann, Ellie Baldwin, Jayne Gebert, Emma Pendry, Taylor Eglinton and Hon. Geoff Brock MP. Thank you to everyone for you commitment and involvement and we are excited to deliver another great Christmas pageant and Christmas in the Park event.

Thank you also to our amazing Volunteers who helped us at the 2016 Christmas Pageant and Christmas in the Park!: Georgina Bickley, Sebastian Caputo, Mario Valente, Leon Darley, Erini Seindanis, Mark Ellard, Dieter Lunsmann, Peter and Emily Turvey, Father Christmas and Mrs Claus and all our Clowns and Elves.

There wouldn’t be a Christmas pageant without any floats! So congratulations to all the business, individuals and organisations who participated and entered floats and took the time to make the 2016 Christmas Pageant a great success. 58 floats were entered, which exceeded our goal (KPI) by 8, we were thrilled and the community and children of Port Pirie and surrounding districts were able to enjoy a fun-filled event. Thank you to Float Judges on the day: Mayor John Rohde, who also opened the Inaugural Evening Christmas Pageant, Geoff Brock and Lyn Akker along with Rick Ralph from Flinders Logistics. And congratulations to the winning float entries:

  • Best Organisation Float’ was awarded to Port Pirie Regional Gymnastics Academy
  • ‘’Best Neon themed Float’ was awarded to Hip Hop Bounce
  • ‘Best Business Float’ was awarded to Environmental Health Centre
  • ‘Best Spirit of Christmas Float’ was awarded to The Terrace Clinic
  • ‘Best Private Float’ was awarded to Ernie Polley and his elves.

Representatives from the winning floats along with the PPCP inc attended a special Mayoral reception in late December and the winners were awarded with an enlarged framed photo of their float, courtesy of the Port Pirie Regional Council.

We are proud that PPCP Inc was able to create a large presence in the online space, with our Facebook Page subscribers hitting 1175 by pageant day, exceeding our KPI of 1000. Our Secretary Lauren Boulton also did a magnificent job with email newsletters and creating maps for the day, that kept everyone involved with the pageant informed all along the way right up to the day. We also established a presence on Instagram and Twitter and I encourage you all to like and follow these accounts to keep up to date with this year’s events. Another success was the creation of our website www.portpiriechristmaspageant.com Going live which enabled us to provide online registration forms for people to enter floats, stalls and volunteer.

Christmas in the Park ran from 5pm on Pageant Day until 10pm and we were wrapt to have 55 Stall holders setup around beautiful Memorial Park for this inaugural event and for taking the plunge for the first time. It’s acknowledged that the committee and volunteers, 18 of us all up, were quite stretched to cover both events which were running at the same time, and we are reaching out for more volunteers in 2017, on the actual day to assist with float marshalling, line marshalls and a myriad of other duties. Special Acknowledgement to our Videotographer Kim Mavromatis of Mav Media, Photographers: Lindall White of Northern Exposure and Kathy Gould of Hip Photography who all donated their services and time 100% to capture some amazing images and footage which were then able to share through social media. Kim Mavromatis then produced a movie combining all the footage and we were able to donate dvds and usbs to the hospital and Port Pirie Aged Care Homes for the residents to enjoy. We also uploaded this movie to our newly created Port Pirie Christmas Pageant inc YouTube account.

MILESTONES

13th April 2016 – Formation Meeting where committee management was formed, members voted in and rules, purpose, vision and incorporation discussed. A 7pm timeslot for the evening pageant was decided upon.

14th April 2016 – Group photo at Lions Club on the Mickey Minnie Mouse Float for our front page ‘Recorder’ debut with our first media release advising time of the pageant and the new committee

13th May, 2016 – Port Pirie Christmas Pageant Inc was registered and officially incorporated.

September 2016 – Our Pageant Posters hit the streets! A special thank you to Automatic Print for donating the printing of these. Our postcards and magnets were also widely distributed leading up to the event.

Thank you to the committee for the ongoing work all year at our monthly committee meetings that often erupted into laughter as we discussed elves, clowns and Father Christmas with such diligence – serious stuff!

We attracted two new major sponsors in Magic FM and Flinders Logistics, Thank you for believing in us and supporting our vision.

2017 MILESTONES

We started the Christmas conversation early this year by holding ‘Christmas in July’ at Caffe Primo. It was a ‘Long Table’ event on Saturday 8th July, 2017 that was well attended by committee members, sponsors and community. We even had a special guest arrive! Father Christmas! much to the joy of the diners on the night.

The promotion leading up to this event allowed us to flag two items: Save the Date for the 2017 pageant: Saturday 2nd December 2017 and Enter your Float now. We wanted people to think about their floats, stalls and volunteering a little earlier to allow more time for preparation. A very big thank you to Brad Perks and Janette Wilson of Caffe Primo who went above and beyond to assist us in any way possible for this event. They created a special Christmas menu for us, decorated their restaurant, made Christmas Freak Shakes and even sold our raffle tickets for the entire month of July – with a special table on show displaying the prizes, we are very grateful.

Our ‘Spruce up the Sleigh Raffle’ raised over $400. Special thank you to committee members Tammy Hudson, Ellie Baldwin and Jacy Kemp for approaching local business for donations. Whilst doing this we also attracted two large donations, $500 from Brad and Janette of Portside Tavern and $500 from Tory Annesse courtesy of Woolworths. Thank you to both businesses for these generous donations.

OUR CURRENT FOCUS

Sprucing up the Sleigh – we’ve had two working bees on the sleigh, cleaning, painting and refitting, and its starting to look delightful, Santa will be happy!

Clowns Clowns Clowns! – Thank you to one of our newer committee members, Jayne Gebert who has taken on the prestigous role of ‘Clown Coordinator’. We’re looking for adults and older teenagers with a funny bone that just needs to be let loose! Our vision is to see a lot more clowns in this year’s pageant. We are organising new clown costumes as well as a free clown school on Sunday October 22nd. This will be a fun afternoon run by an experienced clown. So come along to try a few new tricks, learn how to interact with the other clowns and entertain the pageant crowds! Registrations for Clown school close October 4th. We are encouraging businesses and organisations that enter floats to ask their people who walk alongside to consider being clowns; we supply the costumes and training and their float has extra pizazz!

Attending Events with our Registration Tent – drop into our tent on Smelters Picnic Day, or Twilight Fun Day in the Park, we’ll have hard copy entry forms available for you to sign up right there and then.
